Privacy policy
This page explains how VATsnap handles work, invoice, expense, receipt and VAT data.
Short version: VATsnap stores your work records on your device. We do not run a VATsnap account system, advertising SDK, analytics SDK or our own cloud database for your records.
1. Who we are
VATsnap is an Android app developed by Nexus Foundry, a UK software studio. VATsnap is built for UK contractors, agency workers, HGV drivers, tradespeople, sole traders and small limited-company users.
2. Data you enter into VATsnap
VATsnap lets you enter and store information such as:
- shift, job, break, rate, bonus and deduction records;
- customer, site, agency, private person and business details;
- invoice details, invoice PDFs, payment records and partial payments;
- expense and receipt records;
- VAT settings, VAT estimates and reporting data;
- business logos and imported logo images;
- backup, report and export files that you choose to create.
This data is stored locally on your Android device using app storage and files you choose to export, back up or share.
3. Receipt images and OCR
VATsnap can help read receipt photos using on-device text recognition and OCR components. Receipt photos and extracted text are used to prefill supplier, date, total, VAT and net fields. OCR can be wrong, especially with folded, faded, cropped, blurred or badly lit receipts, so you must check the extracted values before saving or using them.
4. Backups, exports and sharing
VATsnap can create local backup and export files, including safety backups in a folder such as Downloads/VATsnap or another folder chosen by you. If you share an invoice, report, CSV, receipt or backup file through email, cloud storage, messaging apps or another app, that external app's privacy policy applies to what you send.
5. Internet, accounts, analytics and adverts
VATsnap does not require a VATsnap account and does not send your work records to a Nexus Foundry server. The app does not include advertising or third-party analytics tracking SDKs. Android, Google Play and your phone manufacturer may still process technical information for installing, updating, billing, security and operating-system services.
6. Permissions
Depending on the feature you use, VATsnap may ask Android for permissions or access such as camera, photos/media, document files or notification access. These are used for features such as taking receipt photos, choosing images, saving invoice PDFs, importing files, exporting reports, creating backups and showing reminders.
7. Third-party components
VATsnap uses open-source and platform components, including Capacitor, React, local fonts, icon libraries, PDF generation libraries, SQLite/local storage tools and text-recognition components. Fonts are bundled locally where possible rather than loaded from a font CDN at runtime.
8. Payments
If VATsnap offers paid features, free trials or subscriptions, payment and subscription processing will be handled by Google Play or another provider shown at the point of purchase. VATsnap does not store your full payment card details.
9. Data deletion
You can delete data inside the app where that feature is available, clear VATsnap app storage in Android settings, or uninstall the app. Backup and export files that you created may remain on your device, email account or cloud storage until you delete them separately.
10. Children
VATsnap is intended for adults managing work and business records. It is not directed at children.
11. Changes to this policy
We may update this privacy policy as VATsnap changes. The latest version will show the updated date at the top of this page.
